Reply fast to your customers on WhatsApp, even when you are busy

Saturday evening, a customer messages Tonton Business on WhatsApp: "Do you have roofing sheets?" Tonton sees the message and thinks: "I'll deal with it tomorrow." The next day, he replies. Too late: the customer has already bought elsewhere.

This little story happens every day. Here, a large share of purchases starts with a WhatsApp message. And a customer who gets no answer does not wait: they message the next shop.

The lesson: a customer who waits is a customer who leaves

Nobody can answer every message within a minute. But you can make sure the customer gets a sign right away: that their message arrived, when you will reply, and where to find the essentials already (products, opening hours, address). The free WhatsApp Business app does all of this.

5 free WhatsApp Business settings

  1. Away message. Sent automatically outside your opening hours. Example: "Thanks for your message! The shop is closed, we will reply tomorrow from 8 am." The customer knows they are not being ignored.
  2. Greeting message. Sent on a new customer's first message, or after several days without contact. Introduce yourself in one sentence and say what you sell.
  3. Quick replies. Save your most frequent answers (hours, location, payment methods, delivery) and call them up by typing "/" followed by a shortcut. A full answer in two seconds.
  4. Business hours and profile. Address, hours, description, link to your website: the customer finds the information without having to ask.
  5. Catalogue and labels. The catalogue shows your products with photos and descriptions. Labels ("New customer", "Order in progress", "Follow up") stop you forgetting a conversation.

All these settings are in WhatsApp Business, under Settings › Business tools.

Mistakes to avoid

  • Leaving a message "seen" with no answer. A short "Got it, I will reply within the hour" is better than silence.
  • An away message that promises too much. Do not announce "reply in 5 minutes" if you cannot keep it.
  • Keeping everything on your personal phone. A number reserved for the business separates customers from family and can be handed to an employee.

What about when messages pile up?

When orders arrive by the dozen, you can go further: a WhatsApp button on your website, quote requests that arrive already filled in, or a Mobile Money payment linked to the order. That is the next step, once the right habits are in place.

In short

A customer who waits is a customer who leaves. An away message, a greeting message and quick replies are enough to keep them.
